A few quick questions, and the system shapes itself around how you actually work — your week, your travel, your style. About two minutes, and nothing is locked in.
First — who are we building this for?
Most of this came in with your signup. Fix anything that's off.
When do you work?
Your week is the frame everything else hangs on — Region Pilot will never schedule you outside it.
to
Do you travel in your role?
Some territory managers live on the road; some work close to home. Region Pilot fits either one — and it won't ask road questions if the road isn't part of your job.
What does a week on the road look like?
The planner builds trips that match your rhythm — when you head out, when you're home, and how much driving is too much.

to
Where do you like to stay?
When a trip needs an overnight stop, Region Pilot looks for your kind of place first. Pick any that fit — or skip it and we won't play favorites.
How do you like to work?
There's no wrong answer — this shapes who Region Pilot puts in front of you first each week. Change your mind anytime.
Pick your look
We matched your device to start. Keep it, or switch — the room changes as you choose, and the app follows.
Do you have customers to bring with you?
A spreadsheet of leads or dealers drops straight into your pipeline — or start clean and add people as you go.
Not a blank app — yours. Here's what it already knows:

Email
Email Open Tracking
Track when recipients open my emails
Records opens for formatted (HTML) emails composed in Region Pilot. A 1×1 pixel is embedded at the bottom of each tracked send; opens roll up on the Email → Tracking tab.
Email Signature
Signature (HTML)
Auto-appended to formatted (HTML) emails generated by the app — Ask-for-forecast and any future rich composer flows. If your company has a corporate signature, paste it here. Otherwise click “Generate one for me”.
Signature (Plain Text)
Used for mailto: sends (check-ins, single-dealer emails). Auto-derived from the HTML signature on save — edit only if you want a different plain-text version.
When this is used: the HTML signature is appended just above the unsubscribe link / branding footer in formatted emails. The plain-text signature lands at the end of mailto: bodies. Leave both blank to send without a signature.
Show “Powered by Region Pilot” footer
A small grey line at the bottom of formatted emails, just below your signature. Open tracking is independent — it stays on whether this is shown or hidden.
Connect your own AI Preview
Point Region Pilot’s AI features at your own model provider or MCP server instead of the included AI. This is a preview — the connection is not active yet. Your settings are saved, but no requests are sent to your endpoint until we turn the feature on.

Endpoint

Model

Key reference
A label for your stored credential. Never paste a raw key here — the secret is held securely server-side once the feature is active.
Enable this connection
Turning this on will be available once the connection is verified. It stays off during preview — no data leaves Region Pilot through your endpoint yet.

Balance priority and distance:
Preferred Hotel Chains
Which chains do you usually stay at?
Pick the ones you stay at most. When the trip planner finds an overnight stop, it’ll look for these chains nearby on the map and link directly to each chain’s booking site with your dates pre-filled. Live availability and pricing live on the chain’s own site — the linkout opens their real-time search with your destination and check-in date already in place.
Add a chain not on the list
Boutique, regional, or independent — anything that appears on OpenStreetMap by name will match. Type the brand name as it usually appears on the marquee.
Search radius
How far from each overnight stop to look for matching hotels. Searches run automatically after a trip is built — results are cached so the Find hotels modal opens instantly.
Max nightly budget
Your spending cap per overnight stay. We don’t auto-fetch live rates (yet) — after picking a hotel you’ll enter what you paid, and we’ll track savings against this budget in your performance reports. Set 0 to disable budget tracking.
$/night
Loyalty / rewards numbers live on each chain card above — notes-only reminders that surface next to that brand’s booking link so you enter the right number on its site.
Onboarding
Dealers
How this works. Rename field labels or edit individual options. Renaming an option migrates every record that already uses that value — no need to delete and re-add. Removing the last option from Pipeline Stages is blocked since the planner needs at least one to bucket candidates.

Email Maintenance
Blast ledger
List every email blast in your cloud account by send count + status, surfacing untracked blasts (sends with no matching campaign record — the phantom-blast footprint). Void a blast to permanently delete its tracking rows (and any comm touchpoints) behind a count-confirm.
Team roster & invites
See everyone in your company, invite a teammate (single-use link, 7-day expiry), and manage pending invitations. Changing a member’s role and removing members arrive in a later update.
Team view
See the accounts and dealers your team can access under your company’s visibility settings. Read-only for now — assignment and reassignment arrive in a later update.
Mentions
@-mentions from teammates on shared accounts. Open to read them and mark them seen.
Team chat

Team report
Owner/manager. Per-member rollup of leads, dealers, and sales across the records you can see under your company’s visibility settings.
Team visibility
Owner only. Controls which company accounts each rep can see. Full shares every account with everyone; Limited = own, assigned, and (managers) their reports’; None = own + assigned only. The owner always sees everything.
